How your unanswered telephone translates to an overflowing inbox and what to do about it.
It was not much more than a decade ago that e-mail was just coming on the scene and, "You've got mail," was music to your ears. How times have changed. Now the very thought of sifting through your inbox is enough to provoke anxiety in even the most well-tempered business professional.
If you were in business a decade ago, you may recall another change that started sweeping across the business world about that time: the demise of the telephone Receptionist. With the advent of email, the phone was ringing less often, and with voicemail becoming ubiquitous it was easy to tell clients and customers to just, "email it to me or leave me a voice message."
Now you're drowning in messages, both email and voice, and it's possible that your laid off Receptionist may be having the last laugh. How can this be? The answer comes down to dealing with issues as they arrive versus postponing them to a later date. In effect, that is all you are doing with email and voicemail messaging. Not that the Receptionist was solving all your crises for you, but this person was an expert at directing the flow of communications traffic in your business.

Greeting from Honduras! It is a beautiful country but very poor. The people are friendly and seem to appreciate foreigners who volunteer their time to help the local communities. In fact, we've met people from the USA, Canada, England, Australia, Denmark, Israel and others who have come here to volunteer their time.
As the founder and president of Reliable Receptionist, observing the lifestyle here brings an entirely new perspective to what we do. Since we provide off-site telephone answering and appointment scheduling services, we rely heavily on technology in our business. Standard landline telephone technology is very underdeveloped in Honduras. Land lines are rare from what we have seen. However, cell phones are pervasive throughout the country. It seems these developing countries have determined that it is far more efficient to put up a cell tower and serve several thousand people at once rather than run traditional telephone lines
through a country where even electicity can be sparse. Local cell phone providers (Tigo and Claro) sell pre-paid phone credits at corner markets (palperias) and those Hondurans who can afford it use the cell phone as their lifeline. The picture to the right shows a Honduran home with a cell tower in the background.
It would be unusual for a small business person in the countryside here to have a telephone receptionist. Many won't even have a telephone to answer. Nevertheless, many of the same principles apply to do successful business here. Confidence and trust is an important part of any business relationship. Whether calling on the phone or doing business face-to-face, a prospective client needs to feel you are reliable, accessible and trusworthy to hire you.
Reliable Receptionist Founder and President, Victor Mataraso, has announced that he will spend Thanksgiving 2010 visiting Honduras to volunteer help with Honduran children in need. Reliable Receptionist staff already sponsor a Honduran child through the non-profit HondurasChildren.org. Now, Victor will get to meet and visit with their sponsored child, Cesar, and lend assistance to other children in need through the organization. While there, he will personally deliver some toys, books and articles of clothing generously donated by the Reliable Receptionist team.
While some telephone answering services and call centers support developing countries by housing their operations there, Reliable Receptionist believes we can offer a more personalized service to our clients by employing U.S based workers in the local communities we serve, then giving those workers the opportunity to donate a portion of their wages to those in need.
"Our Receptionists are grateful for the opportunity to serve local clients they can meet and interact with daily, while still contributing to those in need in developing countries. In that way, we support both our local economy and the needs of the greater global community," Mataraso said.

Recently, the team at Reliable Receptionist expressed an interest in giving back. With a strong desire to help, but limited resources to do so our employees discovered that their dollars would go quite a bit farther if they were spent in a developing country. Reliable Receptionist Founder and President, Victor Mataraso knew of a worthy charitable cause that would allow them to do just that.
Victor's first cousin, Eve Horowitz, has been working for more than a decade to support underprivileged children in Honduras. She began visiting Honduras in 1992 and initially considered sponsoring a child as a learning experience for her own two kids. As she learned more about neglected children in Honduras, it soon became a larger mission as she realized how her actions and support could create immediate, tangible improvement in their lives. Eve now works coordinating international volunteers and on development for the organization HondurasChildren.org.
Victor proposed the idea of sponsoring a Honduran child to the team at Reliable Receptionist. The team was quick to respond with a resounding YES! Our entire team including Receptionists Angela, Julia, Livia and Mallory along with Account Coordinator Josh and Victor himself agreed to contribute monthly to sponsor a child through HondurasChildren.org. Our contribution will help feed, educate and equip a child to build a future free from poverty.
