How do you transfer a caller to me?

After a call is answered by a Receptionist and we've determined that the call should go to you, the caller is briefly put on hold with music while we dial out to you on the phone number you've provided us. If we reach you, we will privately announce the call. Should you accept it, we will immediately connect your caller to you and drop from the line. If you are unavailable or prefer not to take a call, we will return to the caller to take a message or redirect them to your voice mail or another member of your staff.
 

How do you know if I'm available to take calls?

We encourage you to communicate your status with us throughout the day. You may do this easily by simply dialing your own phone number to speak with a Receptionist or by e-mailing our Reception desk directly.
 

Can I keep my existing phone number?

Yes.  You may keep your existing telephone number and use a simple call forwarding feature to route those calls to our switchboard.  We can advise you on the best method to use for forwarding for various types of phone configurations.

Can I use my existing voicemail system?

Yes. If you have an existing voice mail box it is almost always possible to configure our services to make use of it. However, we can also include a voice mail box as part of our service that may replace your existing box and offer you additional features such as audio file emails of your messages and even voice to text transcription.

Can you transfer calls to my cell phone or to my home?

Yes. One of the many advantages of using an off-site receptionist with advanced call handling technology is that your calls can be privately announced and seamlessly connected to you in real-time on any phone number. Many of our clients provide multiple connecting numbers for us so we always have the best way to reach you.

Can you make outbound calls for me?

Yes. If we are handling your inbound phone reception we offer outbound calling as an additional feature. Generally, these calls are used to communicate with your existing client base regarding appointment confirmations, rescheduling, meeting follow-up, etc. Talk to your Account Coordinator for more information.
